In this policy, A&T Office Admin Solutions may also be referred to as A&T, we, us or our.

2. Personal information we may collect

Depending on how you interact with us, we may collect:

identity and contact information, including your name, email address, telephone number, postal address and business details;

enquiry, booking and customer-service information, including messages, form responses and correspondence;

contract and transaction information, including the service selected, trial and membership dates, payment status, invoices and cancellation records;

technical and usage information, including IP address, device and browser information, pages viewed, referral source, security logs and cookie choices;

marketing preferences, email engagement and unsubscribe records;

Zoom participation information, such as your display name and information you choose to share during a session; and

WhatsApp community information, such as your telephone number, profile name, profile photograph and messages, if you choose to join.

We do not receive or store your full payment-card details. Card payments are processed by Stripe.

3. Health, neurodivergence and other sensitive information

You do not need to disclose a diagnosis or medical information to use LGSDT or our general services. During an enquiry, accessibility discussion, Zoom session or WhatsApp conversation, you may choose to share information about your health, neurodivergence, disability or wellbeing. This may be special category personal data under UK data protection law.

We will only use this information where it is necessary to respond to your request, provide an adjustment or deliver the service appropriately, and where an additional legal condition applies. Where required, we will ask for your explicit consent. You may withdraw consent at any time, although this will not affect processing that was lawful before withdrawal.

LGSDT is not a medical, counselling or crisis service. Please avoid sharing information in a group that you would not want other participants to know.

4. How and why we use personal information

We use personal information only where we have a lawful basis. The main purposes and lawful bases are:

to respond to enquiries and take steps requested before entering a contract: steps before a contract and our legitimate interests in operating the business;

to process bookings, provide services, administer free trials, memberships and recurring payments, send service messages and manage cancellations: performance of a contract;

to process payments, prevent fraud and maintain transaction records: performance of a contract, legitimate interests and legal obligations;

to operate Zoom sessions and, where chosen, the WhatsApp community: performance of a contract and legitimate interests in providing the service;

to maintain accounts, tax records and evidence of transactions: legal obligations and legitimate interests;

to keep the website secure, diagnose problems and understand how the website and funnels perform: legitimate interests and, where required for non-essential cookies, consent;

to send marketing emails: consent or another lawful basis permitted by electronic-marketing law; and

to establish, exercise or defend legal claims, deal with complaints and protect participants: legal obligations and legitimate interests.

Where we rely on legitimate interests, we consider whether the use is necessary and balance our interests against your rights and reasonable expectations.

5. Service emails and marketing

We may send emails needed to provide a service, including booking confirmations, Zoom details, trial and payment information, membership reminders, timetable changes, cancellation confirmations, security notices and responses to enquiries. These are service communications, not marketing, and are necessary to administer your contract or request.

We will send optional marketing communications only where we have an appropriate lawful basis. You can unsubscribe using the link in an email or by contacting us. Unsubscribing from marketing does not stop essential service messages while you remain a customer or member.

6. Who we share information with

We do not sell or rent personal information. We may share the minimum information necessary with:

Systeme.io, which provides website hosting, forms, funnels, customer records, checkout functions, platform analytics and email delivery;

Stripe, which processes card and recurring payments and carries out payment-security and fraud-prevention checks;

Zoom, which provides online meetings and body-doubling sessions;

WhatsApp and Meta, where you choose to join or communicate through WhatsApp;

professional advisers, accountants, insurers, contractors and IT providers where reasonably necessary and subject to appropriate confidentiality;

HM Revenue & Customs, courts, regulators, law-enforcement bodies or other authorities where disclosure is required or permitted by law; and

a purchaser or successor if the business is sold or reorganised, subject to appropriate safeguards.

These providers process information under their own terms and privacy notices or under contractual arrangements with us. We do not permit service providers acting on our behalf to use your information for unrelated purposes.

7. Zoom and WhatsApp

Zoom sessions are not routinely recorded by A&T. Participants must not record, photograph, screenshot or livestream a session without the express permission of every identifiable person.

Joining the LGSDT WhatsApp community is optional. Other community members may be able to see your telephone number, profile name, profile photograph, status and messages, depending on your settings and WhatsApp's functionality. We cannot control information that you choose to share or copies retained by other participants. You can mute or leave the community at any time without ending your membership.

8. International transfers

Some providers, including Stripe, Zoom, WhatsApp and their service providers, may process information outside the United Kingdom. Where UK data protection law requires safeguards for a restricted transfer, we will rely on an applicable UK adequacy regulation, the UK International Data Transfer Agreement or Addendum, or another lawful safeguard. Provider privacy notices contain further information about their locations and transfer arrangements.

9. How long we keep information

We keep personal information only for as long as reasonably necessary for the purpose for which it was collected, including legal, accounting and dispute-resolution requirements. Our usual periods are:

general enquiries that do not become a customer relationship: up to 12 months after the last meaningful contact;

contracts, orders, invoices, payments, cancellations and core customer records: normally six years after the end of the customer relationship or transaction;

operational session, membership and accessibility information: while needed to provide the service and normally no longer than two years afterwards, unless required for a complaint, safeguarding concern or legal claim;

marketing records: until you unsubscribe or we identify prolonged inactivity, with a minimal suppression record retained where necessary to respect your opt-out;

technical logs and cookie information: for the period described in the Cookies Policy or for as long as needed for security and troubleshooting; and

WhatsApp content: according to your settings and WhatsApp's retention arrangements; leaving the group may not remove messages already delivered to other participants.

We may retain information for longer where the law requires it or where reasonably necessary to establish, exercise or defend a legal claim. When information is no longer needed, we delete it securely or anonymise it.

10. Security

We take reasonable technical and organisational measures to protect personal information against accidental or unlawful loss, alteration, disclosure, access or destruction. These measures include access controls, password protection, secure service providers, appropriate account security and limiting access to those who need the information.

No internet service can be guaranteed completely secure. Please use strong passwords, protect meeting and community links and contact us promptly if you believe your information or account has been compromised.

11. Your data-protection rights

Depending on the circumstances and lawful basis, you may have the right to:

ask for access to your personal information;

ask us to correct inaccurate or incomplete information;

ask us to erase information in certain circumstances;

ask us to restrict how information is used;

receive certain information in a portable format;

object to processing based on legitimate interests;

object at any time to the use of your information for direct marketing; and

withdraw consent where processing is based on consent.

These rights are not absolute and exemptions may apply. To exercise a right, email info@atofficeadminsolutions.co.uk. We may need to verify your identity. We normally respond within one month, subject to any lawful extension.

12. Automated decisions

We do not make decisions about you based solely on automated processing that produce legal or similarly significant effects.

13. Children

Our service-based support and LGSDT membership are intended for people aged 18 or over. Digital products may be purchased by a person aged 16 or over where stated. We do not knowingly collect personal information from younger children through this website. Please contact us if you believe a child has provided information inappropriately.

14. Complaints

If you are concerned about how we use personal information, contact info@atofficeadminsolutions.co.uk. We will acknowledge a data-protection complaint within 30 days and respond without undue delay.

You also have the right to complain to the Information Commissioner's Office (ICO). Information is available at https://ico.org.uk/make-a-complaint/ or by calling 0303 123 1113. We would appreciate the opportunity to address your concern first, but this does not affect your right to contact the ICO.

15. Changes to this Privacy Policy

We may update this policy when our services, providers or legal obligations change. The current version and effective date will be published on this page. Where a change materially affects an ongoing service or how we use information, we will provide additional notice where appropriate.

You may view the website and save a reasonable copy for your personal reference. We aim to keep website information accurate and available, but content may become outdated and the website may occasionally be interrupted, withdrawn or changed. Subject to that, we are not responsible for loss caused solely by your reliance on general website information, third-party content, your equipment or connection, or events beyond our reasonable control. These website terms are governed by the law of England and Wales. If you are a consumer living elsewhere in the United Kingdom, you retain any mandatory protections that apply where you live.

Cookies Policy

1. What cookies are

Cookies and similar technologies are small files or identifiers stored on or accessed from your device when you use a website. They can make a website function, keep it secure, remember choices and provide information about how pages are used.

The website is hosted and operated using Systeme.io. Stripe may also use cookies or similar technologies when you use a payment or checkout function. We currently do not intentionally use Google Analytics, Meta Pixel or other third-party advertising trackers.

Strictly necessary cookies: required for security, network management, forms, checkout, payment processing, session functions and remembering your cookie choice. These cannot normally be switched off through our consent tool because the website cannot operate properly without them.

Analytics cookies: help us understand page visits, referral sources and funnel performance so we can improve the website. Where consent is required, these will not be used unless you accept them.

We may update this policy and the cookie-control list if the website, provider settings or cookies change. If we add Google Analytics, Meta Pixel, advertising cookies or another non-essential tracker, we will update this policy and obtain consent before using it where required.
